SOP 117: Granting access to Google Analytics
To grant access to your Google Analytics property (website) to a new user (employee, contractor, agency).
Your employee, contractor, or agency will have access and be able to collaborate on your Google Analytics account.
You will need admin access to a Google Analytics Account.
If you have not created a Google Analytics account, you can refer to SOP 009 (web version) to add Google Analytics to a site.
Google Analytics allows you to grant access to other users so you can share your data with them, or give them access to create reports for your company. Granting access is the most secure way to share your site’s data without having to share your login details.

Every time you want to grant, request, or revoke access to your Google Analytics property.
The person responsible for managing access to your Google Analytics or web analytics.
User roles for Google Analytics:
User roles in Google Analytics are divided into five:
1. Administrator Role:
User Access Overview: Administrators have the highest level of access in GA4, with permissions encompassing all other roles.
Specific Access Details: Administrators can manage users and data restriction settings exclusively.
They have control over both GA4 accounts and properties, including user management and access permissions for properties.

Caution: This level of access should be used sparingly, as administrators can potentially lock others out of the account.

Pro Tip: It is advisable to have at least two administrators for account recovery purposes.
2. Editor Role:
User Access Overview: Editors have full control over an account or property, similar to administrators, but lack the ability to manage other users and their permissions.
Specific Access Details: Editors can perform various tasks, including activating enhanced measurements or deleting a property.

This role is recommended for advanced users who are familiar with Google Analytics and preferably certified.
3. Marketer Role:
User Access Overview: Marketers have more restricted permissions compared to editors, mainly focusing on analytics skills.
Specific Access Details: Marketers inherit permissions from lower-ranking roles.

They can manage audiences, conversions, and custom events but cannot change session settings.
4. Analyst Role:
User Access Overview: Analysts work with available data without access to settings related to data collection or linking products to GA4.
Specific Access Details: Great for teamwork, allowing collaboration without posing a risk to settings.

Analysts can work with reports and explorations, and manage or collaborate on shared assets, like custom reports.
5. Viewer Role:
User Access Overview: Viewers have the lowest GA4 access rights, focusing on data observation without the ability to make changes or collaborate.
Specific Access Details: Viewers can add secondary dimensions to reports, make comparisons in real-time reports, and view shared assets.

The role is less restrictive than it may seem and can be experienced in the GA4 demo account.
Granting access to Google Analytics

Sign in to your Google Analytics account .

Make sure you are in the correct account (the Google Analytics account that you want to share access to) by selecting it from the top menu.
3. On the left sidebar, click “Admin”.
4. Next, under “Property”, click “Property Access Management”:
Note: Granting a user access to a property will also grant access to all views for that property.
5. Click “+” in the top right corner → “Add users”
6. Enter the email address you want to grant access to (Step 1) select the right user role (Step 2) then select the appropriate data restriction (Step 3). Click “Add” to proceed (Step 4).
Note: The email address you enter has to be a Google account, otherwise you won’t be able to add them.
7. You will now see the new user added with permission to access and collaborate on your Google Analytics account.
Remove access to Google Analytics

Sign in to your Google Analytics account .

Make sure you are in the correct account (the Google Analytics account that you want to share access to) by selecting it from the top menu.
3. On the left sidebar, click “Admin”.
4. Next, under “Property”, click “Property Access Management”:
5. For each user you want to remove access, click on the three dots menu and select “Remove access”. If you would like to remove yourself, proceed by clicking “Remove yourself”.
6. The user’s access will now be removed.
